“How do I convert format x to format y?” I get that a lot, and I have already posted a couple of ways to turn Word docs into pdfs. Here are a couple of other services that can convert files from one format to another.

  • From Lifehacker:

    Zamzar is a web-based file conversion tool that can convert your video, audio, images, and documents from nearly any format to nearly any format you like. For example, if you’ve never felt that you could quite figure out how to convert that video you took on your cameraphone to a format you can play on your iPod, Zamzar can do it for you.

  • Convert by email! That’s right, just attach a file to an email and send it to a specific address and your files will be converted and sent back to you quickly and easily. This can also be handy for transferring or backing up files, and it supports a wide range of formats. Read about it here.

Backup is important. You never know when your hard drive will give out (and it will, someday), or when some killer virus is going to wipe your data, or when you are going to be a bonehead and accidentally delete that all-important file.

Backup is important, but an online backup offers further advantages. It can be slow, to be sure, but it protects you in ways that other backups can’t (fire, theft, etc.). It’s a good idea to have your vital information, your most valuable pictures, etc. in a safe and secure location. Services like Mozy Home provide a wonderful and feature-rich online backup solution (and its free). But it has its drawbacks (Windows only, slow, does not sync between computers).

Introducing Dropbox

There is a new site, however, that offers something more, and holds great promise for the futre. Check out the folks over at Dropbox. I have been playing around with their services for a while now and have been very impressed, and today marks the release of their services to the public (still beta, but public beta).

Backup

What is Dropbox? At the minimum it is an automatic online backup of your important data. Dropbox creates a folder on your hard drive. Whatever you put in this folder is automatically synced with your account online. In short, anything you put in the dropbox on your computer is automatically mirrored to a secure, private, and encrypted location online, accessible to you for anywhere in the world.

Sync

The beauty of dropbox is that it offers more than this.

In the first place, you can link multiple computers to the same account. So, for example, let’s say I have both my home and office computers linked to the same online Dropbox. If I add or change a file in the Dropbox on my home computer, it will be automatically uploaded to the online Dropbox, and in turn automatically downloaded by my work computer. All my data is in sync between multiple computers.

Furthermore, Dropbox knows when I modify files and acts accordingly. Let’s say a have an article that I am writing in my dropbox. Whenever I make even the slightest modification to the file on my home computer, that modification is immediately uploaded to the web. This is what is called “real-time” backup. The Dropbox software can sense anytime a file has changed, and mirrors that change online.

And here is the real cool bit: it also keeps a record of the modification in case you do something stupid. Say you accidentally deleted a couple of important paragraphs of your article and could not recover the original? Well, those changes will be reflected in your online dropbox, but the original will be there too, so in just a couple of clicks you can recover you old data. The Dropbox FAQ puts it well:

All your files are not only backed up but all prior versions are preserved. So if you delete something or even just save a bad change you can restore a file in a few clicks via the web interface.

The web interface (which looks a lot like Facebook) gives you a running commentary of all the changes that have been made, and is both good-looking and intuitive.

You can also mark certain folders as shared, allowing you to distribute files, as well as back them up. This could be particularly useful for photos, for example. Just mark your photo folder as shared, distribute the web address to your friends and family, and suddenly you have a private Flickr alternative.

More Advantages

Another important feature of Dropbox is that it only uploads the data that has changed, not entire files. Here, again, is the description provided by the FAQ:

Does Dropbox always upload/download the entire file any time a change is made? Nope, Dropbox tries its best to be smart about how much gets uploaded to our servers for the best possible performance. Before transfer, we compare the new file to the previous version and only send the (binary) diff.

What does this mean? It means that if you only changed one letter of that article, Dropbox only uploads that one letter to your online Dropbox. That saves an enormous amount of bandwidth, which means that once your original upload is complete, you can expect Dropbox to use minimal system resources. It won’t slow down your computer, and it won’t tie down you internet. Still worried? The Dropbox preferences dialog allows you to cap the speed at which it uploads data, allowing you to have it running at all times, even if you’re streaming movies from the internet or downloading email.

Security is also not an issue. All your data is password-protected and encrypted on Amazon’s excellent S3 storage servers.

Linux Users

There are a couple of added advantages available to you if you run a Linux-based operating system. These advantages are available because of the way Linux handles links. In short: Dropbox follows all sym-links. Don’t know what that means? Well, in Linux you can link to a file and the Operating System treats that link as if it was the file itself. Clicking on a link to a folder is as good as clicking on the folder itself.  Long story short, you can place links to folders into your Desktop Dropbox and they will be backed-up and synced just like regular files. IThe rub is that if you run Linux you don’t have to change how your files are organized in order to use Dropbox, and that makes things a lot easier. Just drag links to your important folders and they will be automatically synced just like a regular folder.

How I Roll

I have two dropbox accounts, one is tied to my Laptop, on which I do all my work for school, write articles, prepare lessons for class, and, of course, hack at my dissertation. I now sleep peacefully at night knowing that all this, and especially my dissertation, is automatically backed-up in a secure location. If our house catches fire, I no longer have to run back for my laptop after heroically saving my wife, child, and dog. If my laptop gets stolen, drowned, shot at, etc. I still have access to all my data, and without any trouble whatsoever. As a cherry on top, I have my work desktop linked to this account, so I can access my files at school even without my laptop, and know everything will get synced up in the end.

I also have Dropbox installed on our home Desktop. I don’t really need syncing or anything here; really I just want our important files backuped-up online. So I have my backup software (Cobian 9) run a separate backup into my Dropbox folder. It filters out any large files (pictures, mp3s, etc) and sends the rest to the Dropbox, which is then in turn backed-up online—two simultaneous backups, one local, the other remote. Very nice.

Conclusions

Dropbox is really great Software/Webware. They provide clients for Windows, Linux, and Mac, and all are interoperable with the others (i.e. you can sync between different systems). There is currently a 2GB limit, but the storage and service is perfectly free. The company has promised that they will always offer this free storage, and that they will additionally allow you to upgrade to more storage (for a fee) in the future.

Since we all apparently survived the activation of the Large Hadron Collidor, it’s about time for another strangelet. So what if the world did end, and you (or those you love) didn’t know it? Well, the good people at “You’ve Been Left Behind” have a solution:

The problem is this: once you’ve been raptured, who will tell your friends and family where you’ve gone? Hey, this is a Web 2.0 world; there’s got to be a solution, right?

I have a team, of Christian couples, scattered around the U.S. 4 active couples and one alternate. One of each, of the active couples, are required to log into the system everyday. They are scattered to protect us from having the team wiped out by attack, natural disaster, or epidemic. They are couples in case one is sick, injured, killed, and to assure their walk with God. If they (3 out of 4) fail to log in for 3 days the system figures the Rapture has taken place. There are then notices sent out to each of us daily, for 3 more days, warning us we must log in to prevent the sending of documents. If, we do not, then the system sends out all of the stored data to all of the email addresses. There is one alternate team member to ready as a replacement for a lost teammate. Also one team member is located near enough to the server bank, with access, in case the net goes down, or malfunction.

Foolproof.

I have been thinking more and more lately about harnessing online tools for education and the classroom. I have grown disillusioned by “traditional” software; its usually cumbersome, has little if any social emphasis, and is expensive and not open-source.

In the course of searching for alternatives I came across this post, which has sparked my interest. Some of their recommendations can be implemented on the individual level–setting up a class blog, for example, or a google page. Others require institution support (I tried out Moodle on my server tonight, and while I was impressed, it was overkill for hosting one or two courses).

A Temporary Solution

My classroom needs are actually fairly limited; email announcements, reminders, a document repository, all easily accessible. It would be nice if it was cross-platform. It would be nice if it would provide email notifications. It would be nice if privacy could be easily managed. RSS feeds are probably a pipe-dream, but would be an excellent feature. Oh, and hosted on someone else’s server.

Turns out, drop.io (mentioned here) provides all of these features. It really is amazing how something so simple could be so incredibly powerful and versatile.

So here is my wish-list for drop.io. (1) Slightly more (free) space. (2) Sync to a local folder. (3) File overwrites (if you add a file that is already there, it overwrites that file).

The Bush era may have created a polarized political environment, but the differences between Obama and McCain are more than political. Increasingly voters are asked to consider the socio-cultural differences between the candidates, whether it be age, race, ideology, or some other factor.

Two recent stories illustrate this trend.

First, and close to my nerdy heart, here is an analysis of Obama’s recent announcement that SMS and Email would be the information medium of choice for his upcoming VP announcement. It’s a move that simultaneously galvanizes young voters, for whom SMS in particular is a primary method of communication, and functions as a kind of pot-shot at McCain’s less than sophisticated utilization of technology.

Second, NPR takes penetrating news analysis to a new level with this story about the candidates top music choices. This kind of thing also appeals to a younger crowd, for whom musical preferences are a way of creating personal identity. In this regard, I wonder how McCain’s choice of ABBA–twice–will resonate.

Going back to school? Getting ready for school is more than just pens and pencils nowadays. Summer is the time to take a software/webware inventory. This post offers some advice on web applications that might come in handy. I would only make one change: replace their recommended bibliography application EasyBib with Zotero, which, while not technically a web-app, promises web syncing in the near future and is much more robust than EasyBib.

A friend and I recently ran into a little problem: we wanted to share files with each other, but the files in question were larger than could be sent via email. Sure you can mail a CD, or meet up for coffee with a USB drive, but those options require both time and trouble.

Enter Drop.io. It’s a simple, private, password-protected file-sharing service that allows individuals or groups to exchange data quickly and safely over the internet. You “drop” your data in a folder with either a randomized name, or a name of your choosing, then send the link to whoever you want to access the data. You can set password protection, automatic deletion dates, and a variety of different permissions (view, view/add, or view/add/delete). Furthermore, drop.io provides a variety of different interfaces by which you can interact with its services: Web, email, phone, fax, and even a desktop widget. Even Twitter-integration is provided for those seasoned in the Web 2.0 world.

You can create as many drops as you like, though individual drops are limited to 100mb at the moment. All drops are anonymous (that’s right, you don’t even have to create an account!). Upgrades are available at $10 per gigabyter per year.

Has this ever happened to you? You’ve spent a lot of work typing out a paper, or preparing some notes on the Bible, or posting some thoughts on a blog, and like a good little Greekling, you made sure to stick to the original languages. Now you want to share your efforts, either by distributing your paper (say, sending it to a professor by email), or publishing it on the web. Well, you might have a problem. If you did not use Unicode when typing Greek, your quotation of John 3:16 may look like this:

ou[twj ga.r hvga,phsen o` qeo.j to.n ko,smon(

Why does this happen? Well, it happens because you are using an ASCII-based font. What does that mean? Before 1997, most fonts were ASCII fonts; they were fonts that represented characters using an 8-bit system. A bit is either a 1 or a 0. An 8-bit number is a string of 8 ones and/or zeroes. When you use an ASCII font, each 8-bit number represents a different character: 00000001 is “a”, 00000010 is “b”, etc. The problem? An 8-bit number can only represent 256 characters (2 to the power of 8). 255 Coins? Remember Zelda? He could only carry 255 coins because the NES was an 8-bit system, and could therefore only count to 255 (0 counts as a number).

So the problem is, in order to type in foreign languages we need more characters. 256 is plenty for most European languages, but when you add Mandarin, Hebrew, or Greek into the equation, you will have problems. Your ASCII Greek font gets around this by mapping Greek glyphs onto English characters. A glyph is the particular representation of a character. “A” “a” “a” and “a” are different glyphs of the same character: the first letter of the English alphabet. Since ASCII cannot represent every character in every language, it just changes the glyph to match the language in question and then maps those glyphs on English characters. So your ASCII Greek font is tricking the computer. You see θέος, but the computer sees y’eow. It thinks you are writing in English, not Greek. And the problem is: the computer is right.

Now that ASCII Greek font will work fine in a lot of cases, but what if you ever want to change the font in your paper? There are many reasons to do so. You find a font you like better. You want to distribute your paper to people that might not have access to your font. You want to post it online where is will be viewed with who knows what font. Bottom line: if reading your paper depends on a particular font, you’re in trouble. And if you ever do decide to change fonts, you’re out of look: the only way is to retype all that beautiful Greek.

Or you could use Unicode from the beginning. Unlike ASCII, Unicode supports up-to 32 bits (there are different subsets, but there’s no need to bother with that). That’s 4,294,967,296 possible slots, which is more than enough to support every character in every language. That’s the bottom line: Unicode lets us type out characters, not glyphs, so we don’t have to trick the computer. We can tell the computer from the beginning that we want to type in Greek–ancient Greek, to be precise–and the computer will respond accordingly. All major Word Processors support Unicode, as do most browsers. Its the standard, and you should use it.

So how do you set it up? Good question. The answer: if you’re using any modern Operating System (Windows 98 and after, any Mac, any Linux), it’s already running. Times New Roman is a Unicode font, and you can use it to type in Greek and Hebrew (though its not very pretty). The problem is, most of our systems assume we only want to type in English. We need to tell our system that we are smarter than it gives us credit, that we know Greek and will sometimes be typing in Greek. There is complicated, expensive, and bloated software out there on the web to help you do this, but they’re completely unnecessary. Windows (and Linux and Apple) can do it, and it’s not difficult. You just need to change a few settings, which we’ll do together (with pictures!) next post. And I’ll also provide some good open-standard font suggestions.

As a practical note, many of us simply copy and paste from our Bible software. For me, it’s Bibleworks, though the Perseus Project has the entire Greek bible online, and in Unicode. Bibleworks prior to version 7, for reasons I cannot fathom, did not support Unicode. Bibleworks 7 provides such support, but it is, for reasons I cannot fathom, not enabled by default.How to Enable Unicode This is easy to change, however. Just go to “Tools” -> “Options” and click on the “Fonts” tab. Click “Export Fonts,” which will provide you with two boxes you can check. Check them, and you’re good to go. Now whenever you copy and paste from Bibleworks 7, it will export the text in Unicode. Finally, your readers will know the truth, regardless of their fonts:
